What is ePetRecords?

ePetRecords is the leading provider of secure pet medical records over the Internet serving thousands of pet owners, professional breeders, veterinarians, emergency clinics, and rescue organizations.  Our service automatically retrieves pet medical records directly from the veterinarian database and automatically uploads the duplicate record onto our secure Internet site.  This duplication process ensures the same accuracy as the veterinarian provider.  Records are safe, secure, and can only be accessed by a serial number and private password.  When a pet owner enrolls their pet they are also automatically enrolled in our national Lost and Found Registry.

How does ePetRecords work?

Our proprietary technology automatically captures data from the Veterinarian Management Software System and uploads that data automatically to our website based on a schedule established by the clinic or hospital.  As an ePetRecords member, Pet Owners will receive a Serialized Collar Tag and Wallet Card from their veterinarian provider.  The serialized tag number is the key to login and to the Lost and Found registry.  The uploaded records are available for viewing by a pet owner or provider with the secure serial number and password login.

How does ePetRecords get information from a Veterinarian Practice Management System?

The veterinarian clinic/provider must have the capability of connecting to the Internet.  Our proprietary technology enables us to automatically extract pre-qualified pet medial records and automatically upload those records to our website.

Does ePetRecords require a clinic staff member to manage the process?

No.  ePetRecords operates unattended.  The veterinarian provider simply continues to use their Practice Management System as intended.  Once ePetRecords installation and our Scheduler setup has been performed the extraction and upload process operates automatically unattended.

Does ePetRecords replace a Veterinarian Practice Management System?

No.  ePetRecords serves as an enhancement to the Veterinarian Clinic or Hospital system.

Is a clinic required to have a web site to use ePetRecords?

No.  ePetRecords operates independent of any other website.

What if my veterinarian clinic already has a website?

Great!  We can help you add a hyperlink to our site so your clients can continue to visit your website.  We are not interested in replacing your website – ePetRecords enhances your website.

What type of computer system and operating system works with ePetRecords?

We recommend an Intel Pentium processor or compatible with a minimum 64MB of memory and resolution / screen area of 800 x 600.  Your computer system must be capable of running MS Windows XP, 2000 Professional, or above

What is required of my business computer system?

Your computer system will need to remain on in order for our upload process to be successful.  It is not necessary to login to your practice management system during our extraction and upload process.

What type of Internet connection do I need?

We recommend a high-speed connection (Cable, DSL, T1).  The ePetRecords upload process is fast but as with any Internet process, a faster connection improves the processing time, especially if your client database is large.

How much time does it take to upload data?

Our process is fast – typically a few seconds to several minutes, depending on the size of your database, your system capability and the speed of your connection.

What browsers are supported?

ePetRecords works well with Internet Explorer and Netscape at a resolution of 600 x 800 or higher.

How can I sign up for ePetRecords Service?

As a veterinarian provider you must contact ePetRecords and request a subscription service. As a pet owner you must contact your primary veterinarian provider and request membership.

How much does ePetRecords cost?

ePetRecords is a fee-based service paid by veterinarian clinics and/or hospitals subscribed to our service.  ePetRecords does not charge a pet owner, but the pet owner must enroll through their veterinarian provider.  For current pricing contact sales@epetrecords.com

Why are there two different logins – Pet Owner Login and Provider Login?

Pet Owner login is for pet owners and displays only their pet medical information on a specific pet.  Provider login is only for the clinic or hospital that wants to query only their clinic’s specific records.

What password do I use?

The first login of a pet owner or veterinarian provider requires a new private password to be created. This private password should be recorded and kept secure – the pet owner can record their private password on their ePetRecords Wallet Card for future reference.  If you desire, the same password can be used for multiple pets to make recall easier.

If the password is lost or forgotten contact ePetRecords by clicking on “forgot password?” and we will email you the password.

As a Pet Owner how do I view my ePetRecords?

To view your pet’s medical records Login to our website with your pet’s Serial Number, issued by your primary veterinarian provider, and your private password.

As a veterinarian provider how do I view my clinic’s ePetRecords?

To view your clinic’s medical records Login to our website with your User Name issued by ePetRecords, your private Password, and Serial Number of the animal to view.

Can a Rescue Organization or Emergency Center view a pet’s medical information?

Only if a Pet Owner grants temporary permission by providing the serial number and their private password.

How is ePetRecords helpful to an Emergency Center?

If a pet requires medical attention when away from their normal veterinarian provider the Pet Owner can present their Serial Number and Password so the Emergency Center can use the ePetRecords medical information to diagnose or treat the animal.

How is ePetRecords helpful to a Rescue Organization?

If a lost pet is brought to a Rescue Organization they can use the serial number on the pet’s collar tag to locate the pet owner through our website’s Lost and Found Registry.

Can the pet owner or veterinarian update records on ePetRecords website?

No.  We provide display only.  All information is updated at the Veterinarian Clinic/Hospital.

Do I need a separate ePetRecords for each pet?

Yes. Each pet record is pet-specific by Serial Number.  The serial number and password make each record secure to eliminate any chance of viewing the wrong record.

How does the ePetRecords Lost and Found registry work?

Once a Pet Owner enrolls as a member of ePetRecords they are automatically enrolled in our Lost and Found Registry.  As an ePetRecords member, Pet Owners will receive a Serialized Collar Tag and Wallet Card from the veterinarian provider.  The serialized collar tag is the key to reuniting a lost pet with the pet owner.  If the pet is wearing the collar tag when found, the tag will direct the founding person to our website.  At the Lost and Found page the serial number can be entered to display the primary veterinarian provider and the pet owner’s phone number. How will ePetRecords benefit a Veterinary Clinic or Hospital?

The main advantages for the veterinarian is the amount of time saved by their clinic’s staff.  Our surveys show a typical veterinarian office spends 30-45 minutes per day on a phone call, fax, or email transferring medical information to another clinic, care provider, or pet owner.  By offering Internet access for this same medical information these calls/faxes/emails are virtually eliminated.

Our service provides a decision-support tool for veterinarians.  We furnish the ability for a veterinarian to view their clinic's animal medical records remotely, so while they are away from the office they can prescribe medication, perform diagnostics, or confer with a peer or staff member about a specific patient.  Veterinarians can remotely logon to our system and view a mirror of their own client’s medical records.

Note: No clinic on our system is capable of viewing another clinic's records, only their own clinic's records, or a single specific record given access to by the pet owner

How secure are my ePetRecords?

ePetRecords information resides on our secure server protected by a firewall.  Other ePetRecords users cannot access another user’s information.  Only the pet owner (or anyone with whom they choose to share their Login and Password) can see their pet's information.

There is no update capability on-line.

Why would pet owners or veterinarians visit their ePetRecords?

Pet owners are interested in their pet's personal health history. They visit to learn more about their pet's health needs and for reminders of required medical attention. Pet owners are more likely to take advantage of preventive health services.  The veterinarian will visit ePetRecords while away from their office to consult with another veterinarian, staff member, or pet owner about health conditions concerning a specific animal.

Are ePetRecords transferable to another clinic?

At present pet owners can print a copy of their records for purposes of traveling, boarding, or relocating to another city.
